What should I do in case of accident or damage?

You must notify us of any damage to the vehicle, no matter how slight, within 24 hours.

  1. Safety first

    Make sure that you are not injured, stay safe and contact the police and/or emergency services, if necessary.

  3. Report your claim to LeasePlan within 24 hours

    Fill in the accident declaration form using the My LeasePlan application or online.
    If a third party is involved, send us your European accident notification form.
    LeasePlan will direct you to a partner garage and provide you with a courtesy car, free of charge, while your car is being repaired!

  4. Take photos

    If it is safe to do so, take photos of any other vehicles involved and the location of the accident. Make sure the licence plate is visible in this picture. Such photographs may be needed for the claim’s file. Did you know that good quality photos can speed up the repair of your car?

If your car has been damaged in different accidents, it is important to know that each incident will be treated individually as a claim. Don’t allow damage to accumulate without reporting it.

Important:

  • Once the claim has been submitted, LeasePlan will contact you to direct you to one of its partner auto workshops.
  • If body work is needed, it must be done by a LeasePlan-approved provider. LeasePlan will provide a category B replacement vehicle to you, free of charge.
  • Any damage to the vehicle, however minor, must be reported to LeasePlan within 24 hours.
  • Any expenses that you advanced will be reimbursed by Leasys up to the limits set for roadside assistance.
  • Other mechanic services will not be reimbursed if they incur costs.
  • Undeclared additional damage will not automatically be repaired at the same time as other damage in the workshop.
  • Your contract requires a deductible equal to 2% of the car’s value for each damage: one impact = one damage. The deductible must be paid, except for glass breakage, hail, theft, break-in, and animal collision. (For the last 3 incidences, a police report is required.)

Important to know: you benefit from a complete insurance cover: civil liability, legal protection, driver and passenger cover, “Casco” damage to vehicle and claims management.

 

What should I do in the event of a breakdown or accident abroad?

For any accident or immobilisation of the vehicle in Europe, always call our roadside assistance service (24 hours a day, 7 days a week). This is also the right thing to do in the event of fire, theft, vandalism and punctures.

I have a broken glass, what should I do?

Call our FIRST service who will tell you the most suitable service provider for the repair or replacement of your windscreen. Most of them offer a pick-up service and/or come to your workplace to repair/replace your windscreen.

What should I do if there is a break-in or theft?

Report it to the police and inform Leasys of the break-in or theft via the claim form within 24 hours.
In the event of a theft abroad: once back in Luxembourg, file a police report.

We will contact you after you have submitted your application. We will discuss possible additional services and you can decide whether or not to add services to your application.

 

Is there an age limit for entering into a lease agreement?

Leasys welcomes all customers who are 18 years or older and hold a valid driver’s licence.

Who can drive my vehicle?

From an insurance perspective, all drivers can drive your vehicle, as long as they hold a valid driving licence and they comply with the provisions of the highway code.

It is, however, important to ensure that your employer’s Car Policy allows non-employees to driver company vehicles.

 

What is my deductible in case of damage or window repairs?

In the case of damage, you pay a deductible for each incidence. You will naturally pay less if the actual costs are lower than the set deductible. What if Leasys can claim the damage from another party? Then you will not have to pay the set deductible.

The mandatory deductible does not pertain to:
Window damage, damage caused by theft or theft attempts, fire, collisions with animals, natural disasters. In these cases (save for window damage) you will always be held to file a report with the local police.

 

Can I use the vehicle to help someone learn to drive?

If your vehicle is insured via Leasys, you may be able (with your employer’s consent) to obtain an insurance certificate that allows you to accompany a learner driver in your vehicle. You can apply for a certificate by calling our FIRST service.

What are my responsibilities as a driver?

As a “good family man”, use your vehicle for the purpose for which it was designed and bear in mind the use and maintenance instructions. Keep an eye on water and oil levels and watch out for the warning lights on the dashboard. You should also check your tyre pressure on a regular basis.

 

What is the insurance position?

In most cases, vehicles are covered by civil liability insurance (damage caused to third parties), casco insurance (damage caused to the Leasys vehicle) and legal protection insurance (in the event of civil and, sometimes, criminal litigation). If there is a claim under the civil liability policy, there will be an impact on your civil liability claims record. If there is a claim under the casco policy, a contractual incident penalty will be charged for each event, if provided for in the agreement. In all cases, we advise you to read the exclusions in the insurance General Terms and Conditions, available from your fleet manager.

Where can I have my car serviced or repaired?

For a proper functioning of your car, it’s essential that you carefully follow the recommendations of the maintenance manual and anything indicated by the onboard computer.

Have your car serviced by a Leasys partner mechanic, which will send the bill to Leasys. You cannot choose your own mechanic without prior authorisation by Leasys.

Can I have servicing or repairs done abroad?

It is recommended to have your vehicle serviced in Luxembourg before you leave or immediately upon your return. If servicing is done abroad as a special exception, it must be with an authorised dealer of your car’s brand.

Do I have to pay the costs of mechanical maintenance or repairs myself?

No, Leasys partner mechanics will bill Leasys Luxembourg directly.

 

When do I have to pay for maintenance or repairs myself?

In the following situations, you’ll need to pay the maintenance or repair bills:

  • If you neglected the car, e.g. if you did not have the necessary repairs or servicing done on time, or if the oil level drops too low because you checked it too infrequently, etc;
  • If you used the car irresponsibly;If the car is damaged and the repairs aren’t covered by the risk retention guarantee;
  • For repairing or servicing a component that is not part of the vehicle (e.g. a bike rack, trailer, or caravan);
  • If you perform repairs or maintenance, change the tyres, or have any of these tasks done by someone else without Leasys’s permission;
  • If you enlist a company other than the one which Leasys indicated to you. To avoid this, call FIRST service, which will tell you the best provider for your maintenance and repairs.
 

What options do I have while my vehicle is in the garage?

If included as part of your agreement, Leasys will provide you with a replacement vehicle for as long as the repairs last. This replacement vehicle can be left at the garage when you pick up your long-term vehicle.

 

How and where can I have my tyres replaced and stored?

Call FIRST service, which will tell you the best provider for changing your tyres. The vendor will request approval from Leasys and bill Leasys.

 

When should the tyres be changed?

By law, when the tread’s depth reaches 1.6 mm, the tyre must be replaced. However, for maximum safety, it is recommended to change the winter tyres when there is 4 mm of tread left, and summer tyres at 3 mm.

Leasys urges you to plan your tyre changes in advance. When the temperature drops suddenly or when the first snow falls, demand for servicing is so high that wait times may be very long. Be among the first to get a change and set your appointment with our approved tyre centres as early as September in order to receive pick-up service (subject to the vendor’s availability, pick-up service comes to get your car and brings it back to you).

Are there any age restrictions for signing a contract?

Anybody aged 18 or above with a valid driving licence can sign up for an operational lease contract.

 

I would like to make a test drive. Is that possible?

To try and test the car of your choice, it is always possible to go directly to your nearest dealer to request a free trial.

Don't forget to bring your driver's license to be allowed to test drive the vehicle directly. Indeed, the seller will systematically refuse you the test drive if you don't have this document with you.

 

Are there any age restrictions for signing a contract?

Each car can be driven for a maximum number of kilometres over the entire term of your contract. This maximum varies per car. If this maximum is for example 200,000 km, then you can either drive 40,000 km/year for 5 years, or drive 50,000 km/year for 4 years. The maximum duration of our contracts is always 5 years (60 months).

 

I ordered a car. When will my car be delivered?

The delivery date depends on the availability of the model you’ve chosen. Most cars are delivered within 8 to 12 weeks.

What should I get together before returning my car?

Gather everything that was provided when you initially received the car.

Things to return:

  • The vehicle’s registration certificate
  • Copy of the certificate of conformity
  • Moto vehicle tax sticker
  • Insurance (“green”) card
  • All the keys
  • Maintenance logbook if any and user manuals
  • Navigation system CD, if any

The vehicle must be equipped with all the accessories that it had at the time it was delivered, and those added during the contract that became the property of Leasys. Accessories added at your expense during the contract must be removed before the vehicle is returned.

  • Detachable audio/navigation cover
  • Navigation CD/DVD or memory card

I want to buy my leased car. Is that possible?

Yes. This is possible. The repurchase value will be the market value. It will be communicated upon customer request three months before the end of the contract.

Who can drive my vehicle?

In terms of insurance, all drivers may drive the vehicle as long as they have a valid driving licence and meet the requirements of the highway code.
However, it is important to make sure that the Car-Policy set up by your employer authorises the driving of company vehicles by external persons.

 

Is smoking allowed in the vehicle?

We really prefer that you don’t smoke in our cars. But we cannot forbid this. Please remember that the lease car must be returned to us completely clean and without any (interior) damage.

 

Who pays for my fines?

The fines are sent to Leasys (the official owner of the vehicle). We then send them to the user of the vehicle, who is also the one who has to pay the tickets. We recommend that you follow up the fines quickly to avoid reminders and the additional costs that would result from this.

Roadside assistance

Do you need immediate roadside assistance? If you are unable to continue driving your vehicle (breakdown, flat tyre or accident) or if you are unsure about your safety, please contact Leasys roadside assistance.

You should also call that number in the event of fire, theft, vandalism or a flat tyre.

If your car does not start and you cannot get it repaired on-site, you will be offered a courtesy car via our roadside assistance to ensure your mobility as quickly as possible. This car will be available for up to 5 days. After that, Leasys will take over with its fleet of short-term vehicles.

If any bodywork needs to be carried out by one of our preferred suppliers, Leasys will provide you with a category B courtesy car, free of charge. Any expenses that you will have incurred will be reimbursed by Leasys according to the terms provided for by the assistance service. However, expenses incurred due to the use of an alternative breakdown service will not be reimbursed.

How many kilometres can I drive on a fully charged battery?

A fully charged battery with a capacity of 40 kW will enable you to drive 200 to 250 kilometers. If you drive sensibly, you will achieve even more. Speed has the most effect on the amount of power drawn down from your battery, so you are advised to keep to the permitted speed limits.

There are also other factors that may have an effect on your driving range:

  • high or low temperatures (resulting in continuous operation of the air conditioning/heating
  • a (too) sporty driving style
  • driving with a strong headwind
  • a fully loaded car
  • driving uphill for a long period of time
 

What is the action radius of an electric vehicle?

Depending on the model, you can drive approximately 100 to more than 500 kilometers with a full battery. This makes an electric vehicle highly suitable for daily home-work travel.

 

Can weather conditions affect my action radius?

In addition to speed and driving style, weather conditions can affect the battery capacity:

  • strong winds
  • extremely high temperatures which result in continued use of the air conditioning
  • extremely low temperatures which result in continued use of the heating system. Unlike vehicles with a conventional motor where the engine's residual heat is used, an electric vehicle needs to generate heat using energy from the battery

How much does a home charger cost?

The cost will depend on different installation factors such as distance from your fuse box or the necessity to place a cable in the ground. Leasys standard installations have a fixed price that can be financed through the leasing of your car at Leasys or paid upfront. The package also includes maintenance and IT connectivity costs.

 

Are there financial benefits for driving an electric vehicle?

TCO costs are increasingly comparable to those of traditional engines by adapting usage and driving behaviour. Electric vehicles are the least taxed on the market and benefit from financial aid, which favours their total cost of use compared to their thermal equivalents.

 

Does an electric vehicle require different maintenance than a vehicle with petrol or diesel?

An electric vehicle requires less maintenance than a combustion propelled car and an EV has fewer moving parts. As a result, the wear of an electric motor is lower. Oil changes, exhaust and gears are things of the past and the brakes are less sensitive to wear thanks to regenerative braking.

What about the batteries of all these electric cars in terms of impact on the environment?

The mining of materials for the production of batteries is monitored by car manufacturers that they are sustainable. This is comparable to the production of batteries for our millions of mobile phones and laptops. An electric car also drives 4 to 5 times longer than a classic car, so fewer have to be produced. At the end of their function in the car they can start a second life as a battery at home to charge your new electric car with solar energy that we have stored during the day. The recycling of batteries, whether it is from our cell phone or car, can be recycled for more than 95% and reused for new batteries.

What is a full electrical vehicle?

An electric vehicle, also called an EV, uses one or more electric motors or traction motors for propulsion. The energy used for driving an EV is stored in the battery and the battery is charged at a charge station (at home, at the office or in public).

 

Are the electric vehicles easy to drive?

Driving an EV is even more straightforward than a conventional car. The gear stick is the same as an automatic transmission, so you only have to select Drive or Reverse to go. You will not use the brake pedal as often because the car uses a regenerative braking system that slows down the car when you take your foot off the accelerator.

 

Are electric vehicles equipped as conventional vehicles?

No, unauthorised vehicles cannot use your home recharging station. Your home recharging station and charging pass are registered in your name. In order to use your home charging station, you must log in via your charging pass. A charging pass other than your own will not be accepted.
